We're seeking a highly organised, energetic and customer-focused Event Operations Coordinator to join the Festival team

To ensure the smooth running of the Ludlow Marches Food and Drink events; the principal events being the Ludlow Spring Festival, Magnalonga and Ludlow Marches Food and Drink Festival.

Job Overview

This position involves managing a timely delivery of the events as agreed with the Board of Directors in conjunction with the Festival Team including the office manager/event coordinator, sponsorship, marketing/PR, logistics and volunteer coordinators and together with local community groups.

The ideal candidate will have a background in event management, a passion for food and drink culture, enjoy working within a team and the ability to thrive under pressure.

Key Responsibilities

  • Work with the Directors and Team Members to deliver the Festival events.
  • To work within budget.
  • Event planning and delivery – organise booking exhibitors/vendors, suppliers, infrastructure alongside the event coordinator/office manager.
  • Develop and manage event schedules and layouts. Liaise with the venues and logistics coordinator to achieve a smooth operation of the events.
  • Liaise with the Health & Safety advisors.
  • Provide support to the Volunteer Coordinators with all aspects involved.
  • Support the marketing/PR coordinator with event material, schedules and advertising to promote events and drive attendance. 
  • Deliver website changes when required.
  • Build and maintain strong relationships with exhibitors/vendors, suppliers, community groups and sponsors.
  • Ability to work flexible hours including some evenings and weekends, and without supervision.  This will include attending Operation Meetings, usually via Zoom.
  • To be on-site during all event setups, weekend and breakdown to help coordinate the successful delivery of events.

Skills & Attributes

  • Committed to the aims and objectives of the Ludlow Marches Food and Drink.
  • Passion for the food and drink culture and creating memorable visitor experiences.
  • Experience of running events in a busy multi-tasking environment.
  • Preferably hold a relevant Event Management qualification and a good understanding of legislation to the safe running of a large outdoor event.
  • A pro-active problem-solver who thrives under pressure.
  • Familiar with Microsoft Office / Google software.
  • Proficient in writing and editing.
  • Enthusiastic hands-on team player with an excellent organisational, leadership and communication attitude.
  • Live within easy commuting distance of Ludlow
  • Hold a full clean driving licence.

Hours and Remuneration

  • This is a fixed term self-employed post and is expected to be 2-3 days per week (flexible hours), with more time spent in the weeks leading up to and following the events.
  • Attendance at the Festival office in Ludlow is normally expected at least 1 day per week – in liaison with the Event Coordinator/Office Manager.
  • The self-employed contract rate will be £15-£20 per hour, depending on experience.
